User Groups

Share with a team instead of one person at a time.

A user group is a named set of users with a designated group leader. Once a group exists, anything that can be shared with a user can be shared with the group instead — and membership changes take effect everywhere at once.

What Groups Can Be Used For

The Groups Table

ColumnMeaning
Group NameThe group's name.
Group LeadThe user who leads the group.
Num MembersHow many users are in it. Click through to see and manage them.
Reports SharedReports shared with the group as a whole.
Created By / Created AtWho created the group, and when.
Has AccessWhether the group is currently active.

Creating a Group

Click Add new user group and provide:

  • Group Name — required.
  • Group Leader — start typing to search users in your organization. Leave it blank and you are assigned as the leader.

Managing Members

Open a group from the Num Members column to see its members. From there you can:

  • Add members — search the organization by name or email and add one or more users
  • Remove a member — removes them from the group only; their account and license are untouched
  • Update group info — rename the group or change its leader
⚠️ Deleting a Group Deleting a group removes it from everything it was granting access through. Users who relied on the group for access to a report will lose that access unless they also have it directly or through another group.
💡 Groups vs. Contact Groups A user group is a set of PersivX users, used for access and approvals. Contact groups, managed separately, are lists of recipients used when delivering reports — see Scheduler & Smart Alerts.
