Sharing & Access
Who can open a report, build on a datasource, or see what's in a folder.
Access in PersivX is granted per object. A user needs to be given access to each report, datasource, or folder they should reach — there is no blanket "everyone can see everything" setting.
Roles
| Role | What it allows |
|---|---|
| Admin | Full control of the object, including sharing it with others and revoking access. |
| Standard access | Use the object, without the ability to manage who else can. |
A user with standard access can be promoted to Admin, and an Admin can be demoted back — except the object's creator, who cannot be removed from their own object.
Sharing a Report
In the report builder, open Share dashboard under Advanced. Search for a user or a user group and add them. The panel then lists everyone with access, their role, and controls to promote or revoke.
Sharing a Datasource
Datasource access is granted the same way and is what a Developer needs in order to build new reports on that data. Giving someone a report does not give them the datasource behind it.
Sharing a Folder
A folder can be shared as a unit, which is the efficient way to hand a team a whole area of reporting rather than granting each report individually. Folder Admins can share the folder onward and manage its contents.
Tab-Level Access
Within a report, access can be granted per tab, so different audiences opening the same report see different sections of it.
Reviewing Who Has Access
Two directions to check from, and both are worth using:
- From the object — the sharing panel lists everyone with access to this report, datasource, or folder.
- From the user — the Users screen has a Reports Shared column per user, listing what they can reach and letting you share more or revoke from there.
