Users & Licenses
Add people to your organization, decide what each of them can do, and reclaim licenses when they leave.
The Users screen in the admin console lists everyone in your organization. Its header shows how many of each license type are in use against how many you own:
| Counter | Meaning |
|---|---|
| Developers | Users holding a Developer license, against your organization's developer limit. |
| Viewers | Users holding a Viewer license, against your viewer limit. |
| AI Licenses | Users granted AI access, against your AI licence limit. |
The Users Table
Each row is one user. Several columns are clickable and open a detail view or toggle a setting directly.
| Column | What it shows / does |
|---|---|
| Name | Set by the user when they complete account setup. Blank until they do. |
| Username | Blank until the user completes setup — a useful signal that an invite is still outstanding. |
| Where the invite was sent. If setup is incomplete, a Send account setup mail again link appears here. | |
| License | Developer or Viewer. Click to change. |
| User Attributes | Opens this user's attribute values. |
| Reports Shared | Lists reports shared with this user, and lets you share more. |
| Part of Groups | Lists the user groups this user belongs to. |
| AI Access | Checkbox. Grants the user AI features. |
| Adv AI Access | Checkbox. Grants advanced (agentic) AI features. |
| Scheduler Access | Checkbox. Lets the user create subscriptions and alerts. |
| Has Access | Click to block or unblock login. A blocked user shows Login Blocked. |
| Revoke License | Reclaims the user's license, freeing it for someone else. |
Use Download users in the header to export the whole table to Excel.
Adding Users
Click Add new users. You can add people two ways, and both can be used together:
- Upload a list — a CSV or Excel file whose first column contains email addresses.
- Type them in — a comma-separated list of email IDs. PersivX validates the addresses as you leave the field and flags any that are malformed.
Then choose the license to assign — Viewer or Developer — and click Create User(s).
License Types
| License | What it allows |
|---|---|
| Developer | Build datasources, reports, and visualizations, and use the report builder. |
| Viewer | Open and interact with reports shared with them, without building new ones. |
License type can be changed at any time from the License column. AI, advanced AI, and scheduler access are granted separately, per user, and are independent of the Developer/Viewer split.
Blocking and Reclaiming
Two different actions, often confused:
- Block login (the Has Access column) stops the user signing in but keeps their license assigned.
- Reclaim User License frees the license so it can be assigned to someone else.
