Access & Permissions

Who can view, edit, or administer entries in this SmartTable.

Access tab
SettingDescription
Enable entry-level access controlWhen enabled, each entry can have its own permissions, and a "Manage Permissions" option appears in the entry actions menu. See Access Management for the full rule-based editor this unlocks.
Show Entries Controls which entries a user sees when entry-level access control is off:
  • All Entries — Everyone sees all entries
  • Self Entries — Users only see entries they created
  • Entries by Same Attribute — Users see entries from users sharing the same attribute value
Select AttributeWhen "Entries by Same Attribute" is selected, choose which user attribute to filter by (e.g., Department, Location, Shift).
Submit Admin UsersUsers who can submit entries but cannot edit them after submission.
Users who can Edit Submitted EntriesOnly these users can edit entries after they've been submitted, in addition to System Admins and SmartTable Admins.
Users who can Unsubmit EntriesOnly these users can return a submitted entry to draft state, in addition to System Admins and SmartTable Admins. See Editing Entries.
Primary Field (Relational SmartTables)For relational smarttables, this field is used as the display value in autofill dropdowns on other smarttables.
⚠️ Attribute-Based Filtering When using "Entries by Same Attribute", make sure all users have the selected attribute assigned in User Attributes management. Users without the attribute will see no entries.

Linking

Autofill and cross-SmartTable linking behaviour, listed per field — including columns inside table fields.

Linking tab

Each field (and each column of every table field) gets its own toggle here for whether it participates in SmartTable-to-SmartTable linking. This is a lighter-weight companion to Autofill Configuration — Linking marks which fields can be linked to, while Autofill Configuration defines the actual source/filter/linked-field behavior for a field that pulls from one of them.
