Folders

Group related smarttables together and share them with users as a single unit.

ℹ️ Who can manage folders? Only System Admins can create, rename, delete folders, or change which smarttables belong to one.

Why Use Folders

If your organization has many smarttables, sharing each one individually to every user who needs it becomes tedious. Folders let you group smarttables (for example, all smarttables belonging to one department or process) and grant access to the whole group in one step.

⚠️ One Folder Per SmartTable A smarttable can belong to only one folder at a time. Adding a smarttable to a new folder removes it from any folder it was previously in.

How Sharing Works

  • Sharing a folder with a user grants them regular User access to every smarttable currently in the folder
  • SmartTables added to the folder later are automatically shared with everyone who already has access to that folder
  • Revoking a user's folder access only removes the access that came from the folder — it does not remove access that was shared with them directly on an individual smarttable
💡 Tip Use folders for onboarding — instead of remembering which five smarttables a new hire in a department needs, share one folder and they get all of them.
